Job Title: Executive Assistant to Fashion Designer, Brand Founder, and CEO

Job Overview:

We are seeking an experienced and proactive Executive Assistant to provide high-level administrative support to our Brand Founder, Fashion Designer, and CEO. The ideal candidate will be highly organized, detail-oriented, and capable of managing multiple tasks efficiently in a fast-paced environment across continents. This role requires excellent communication skills, discretion, and the ability to anticipate the needs of the executive team. The Executive Assistant will play a crucial role in facilitating the smooth operation of the designer’s office and supporting their creative vision.

Responsibilities:

  • Calendar Management: Coordinate and manage complex calendars, including scheduling appointments, meetings, and events, while prioritizing conflicting requests.
  • Travel Arrangements: Arrange domestic and international travel itineraries, including flights, accommodations, transportation, and visas, ensuring efficient and seamless travel experiences.
  • Communication Management: Act as the primary point of contact for internal and external communications, including screening and managing phone calls, emails, and correspondence.
  • Meeting Coordination: Prepare agendas, attend meetings, and take accurate meeting minutes. Follow up on action items and ensure timely completion of tasks.
  • Office Management: Maintain an organized and efficient office environment, including managing supplies, equipment, and vendor relationships. Handle incoming and outgoing mail and shipments.
  • Project Support: Assist with various projects and initiatives, including research, proposals, data analysis, and presentation preparation. Provide support for brand-related activities, such as fashion shows, photo shoots, and promotional events and social media content gathering..
  • Document Management: Create, edit, and proofread documents, presentations, and reports. Maintain confidential files and records, ensuring accuracy and compliance with company policies.
  • Relationship Management: Cultivate positive relationships with internal teams, external partners, clients, and stakeholders. Serve as a liaison between the executive team and other departments within the organization.
  • Personal Assistance: Provide personal support to the Fashion Designer, Brand Founder, and CEO as needed, including managing personal appointments, household tasks, and special projects.

Qualifications:

  • Bachelor’s degree preferred, or equivalent combination of education and experience.
  • Proven experience as an executive assistant or similar role, preferably in the fashion industry.
  • Strong organizational skills and attention to detail.
  • Excellent communication and interpersonal skills.
  • Bilingual – English /French
  • Ability to handle sensitive information with discretion and confidentiality.
  • Proficiency in Microsoft Office Suite and other relevant software.
  • Flexibility to adapt to changing priorities and work independently with minimal supervision.
  • Passion for fashion, creativity, and a genuine interest in supporting the vision of the brand founder and CEO.

Additional Requirements:

  • Availability to work flexible hours, including evenings and weekends, as needed.
  • Willingness to travel occasionally for business-related purposes.
  • Open to relocate locally and internationally
